Privacy Policy

BetterBnB (“we”, “us”) makes software for people who run short-term rentals in India: a dashboard for operators, an app for caretakers, guest pages for quotes and bookings, a Chrome extension, and the public site at betterbnb.in. This policy says what personal data we handle, why, and what control you have over it. It applies to all of those.
Who decides what happens to guest data
When an operator uses BetterBnB to manage their bookings, the operator decides which guest details to keep and why. For that data, we process it on the operator’s behalf and only to run the service for them. If you stayed with an operator who uses BetterBnB, contact them first about your data. You can also write to us and we will pass your request on.
What we collect
Operators, managers and caretakers
- From Google sign-in: your name, email address, profile picture and Google account ID.
- What you enter: your organisation, properties, listings, prices, bank details for invoices, tasks, checklists, inventory counts and utility readings.
- Photos caretakers take when they complete a task.
Guests
- Booking details an operator records or imports: name, phone number, email, stay dates, party size, amounts paid, and GST details if you asked for a GST invoice.
- For bookings made on Airbnb or MakeMyTrip, the operator’s copy of the reservation as the platform showed it to them, including your profile photo where one was shown, and reviews you left for the stay.
- On a quote or pack page, the last four digits of your phone number, used once to check it is you. A cookie then keeps you signed in to that page.
Book buyers
- Your name and email address, and what you bought. Our payment provider handles your card or UPI details. We never see or store them.
Everyone
- Basic request logs (IP address, browser, pages requested) that our servers keep for security and to fix faults.
Google user data
BetterBnB uses Google APIs in two places.
Sign in with Google
We receive your name, email address, profile picture and Google account ID. We use them only to sign you in and to show who did what inside your organisation.
Google Calendar (optional)
An operator can connect a Google Calendar from Settings. We then ask for the calendar.events permission and use it for one thing: to add, update and remove events for that operator’s stays, checkouts and cleaning tasks on the calendar they choose.
- We mark every event we create, and we only ever request, change or delete events with that mark. We do not read, copy or store your other events.
- We store the refresh token Google gives us, encrypted at rest, so the sync can run without you. From the events we created, we read back their date and time, so that moving a task’s event in Google moves the task in BetterBnB. We store nothing else from your calendar.
- You can disconnect at any time from Settings. That revokes our access with Google and deletes the token. You can also remove access from your Google Account’s security settings. Events already on your calendar stay there; you can delete them.
BetterBnB’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not sell Google user data, use it for advertising, use it to train AI or machine-learning models, or let people read it, except with your consent, for security, or where the law requires.
The Chrome extension
The BetterBnB extension runs only on an operator’s own host pages on Airbnb and the MakeMyTrip/Goibibo extranet. It reads the reservations, enquiries and reviews those pages already show the operator, and sends them to that operator’s BetterBnB account. It does not read other sites, and it does not read or store your passwords or cookies for those platforms.
How we use data
- To run the service: bookings, quotes, payments, tasks, calendars and guest pages.
- To send emails you asked for, such as quotes, receipts and purchase links.
- To suggest photo prompts and listing text. For this we send listing photos and descriptions (not guest data or Google user data) to Google’s Gemini API.
- To keep the service secure and to fix faults.
- To meet legal duties, such as keeping tax records.
We do not sell personal data, and we do not show ads.
Who we share it with
Only the providers we need to run BetterBnB, and only what each one needs:
- Amazon Web Services: hosting, database, file storage and email (Mumbai region).
- Google: sign-in, Google Calendar (if connected) and the Gemini API.
- Payment providers (such as Razorpay and Dodo Payments) for payments you make.
Inside an organisation, data is visible to that organisation’s own users according to their role. We may disclose data if Indian law requires it.
Where it is stored and how long we keep it
We store data in India, on AWS in Mumbai (ap-south-1). We keep it while the account that holds it is active. When an operator closes their account, or you ask us to delete your data, we delete it within 30 days. The exception is records the law requires us to keep, such as invoices for GST, which we keep only for as long as required.
Cookies
We use cookies only to keep you signed in, to the dashboard, the caretaker app or a guest page. We do not use advertising or cross-site tracking cookies.
Your rights
Under India’s Digital Personal Data Protection Act, 2023, you can ask to see the personal data we hold about you, to correct it, or to delete it. You can also withdraw consent you gave, such as a calendar connection, and name someone to act for you. Write to hello@betterbnb.in. We reply within 30 days.
Children
BetterBnB is not meant for anyone under 18, and we do not knowingly collect their data.
Changes
If we change this policy, we update the date at the top. If a change affects how we use data you already gave us, we tell account holders by email first.
